A mental health practice needed monthly operational reports that pulled data across multiple sources including EHR, CRM, and marketing platforms. The process involved manual exports, spreadsheet cleanup, and chart assembly which worked but took significant time and made it difficult to drill into specific metrics when questions came up.
The Manual Export
Reoccurring and one time reports were compiled by exporting data from multiple sources, manually organizing in spreadsheets, and building charts one-by-one. The final reports gave leadership the numbers they needed, but the process was time-intensive and the static format made it hard to explore trends or filter by provider, appointment type, or custom date ranges.
As the practice grew, reporting needs expanded beyond what the manual workflow could sustainably handle. Leadership wanted faster access to key metrics and the ability to investigate patterns without waiting for custom exports and analysis.
Real-Time Dashboards Replace Manual Builds
Started by auditing existing reports to identify which metrics actually drove decisions. Focused on actionable KPIs: show rate, provider utilization, revenue per appointment, appointment volume, intake-to-follow-up conversion etc…
Built a centralized dashboard system in Google Looker Studio that connects directly to key data sources. Designed interactive dashboards with filter controls so users can adjust date ranges, drill down by provider, or segment by appointment type in real time.
Implemented calculated fields to standardize metrics across data sources, things such as no-show percentage, capacity utilization, and conversion rates, so everyone’s looking at the same definitions.
Created a library of reusable EHR reports for clinical, billing, and operational teams. Documented each report’s purpose and recommended scheduling cadence, which reduced ad-hoc data requests and gave teams self-service access to routine metrics.
